You send us the Pre-Consultation Questionnaire. We read it carefully. We benchmark the property against live Oxford comparables — same street, same room count, same fit-out grade where we can match it. We check the licensing and Article 4 picture for your postcode. We confirm where you sit relative to the Renters’ Rights Act framework.
On the 30-minute call we work through the property basics, the compliance position, the rent and yield picture, and your Renters’ Rights Act exposure in plain English. You ask whatever you want. We don’t try to sell you anything on the call — and if we think we’re not the right fit for your property, we tell you honestly.
Within 48 hours of the call, you receive a written consultation report. Your property, your numbers, our recommendation, in black and white. Whether you instruct us or not, the report is yours to keep.
What it costs you: Nothing. No consultation fee, no cancellation fee, no obligation of any kind.
If you decide to proceed, we send the Terms of Business and Fee Schedule for countersignature. Our standard terms include no tie-in and no exit fee — you can terminate with one month’s written notice at any time.
A one-off set-up fee of £500 is invoiced on signature, payable within 14 days. It covers the real work that happens before the first tenant moves in: a full on-file compliance audit of your property (gas, EICR, EPC, HMO licence, deposit protection, right-to-rent, tenancy documentation), professional photography, landlord-portal setup with historical document migration, and an initial rent-review benchmark. If you proceed on Fully Managed, the set-up fee is deductible against the first month’s management fee.
We then load your property onto the compliance tracker, arrange any outstanding certificates (contractor invoices passed through at cost, no markup), and open your real-time landlord portal. From this point forward you have 24/7 visibility on everything happening to your property

Marketing and tenancy.

Oxford student HMOs run on the Michaelmas cycle. We begin marketing from October for the following academic year, when the best student households commit. Properties are photographed properly, listed on the portals where students actually look (Rightmove, Zoopla, OnTheMarket, University of Oxford and Oxford Brookes accommodation boards), and viewed by pre-qualified households.
We reference every applicant (income, employment or university verification, previous landlord reference), run Immigration Act Right-to-Rent checks, and take deed-of-guarantee guarantor paperwork where appropriate. We then set the tenancy up as periodic from day one, structured around the retained Ground 4A student-possession route to preserve the June-to-June cycle under the Renters’ Rights Act. You see every applicant, every offer, and every signed document live in the portal — including the final signed tenancy, available to download the moment it’s countersigned.
Rent in. Statements out on the same day the rent clears into our Client Money Protection-registered account. Maintenance logged, triaged, and closed out with photo updates at every stage. Compliance expiry dates tracked automatically, renewals arranged 90 days ahead. Quarterly photo-documented inspections uploaded to your portal within three working days.

Management, in real time.

Renewal or reset.

Each Trinity term we review the tenancy, the rent, and the property condition. We produce a written renewal recommendation: hold the current rent, propose a Section 13 increase, or move to a fresh cohort.
If the household is renewing, we handle the paperwork and the transition — Fully Managed clients get one free renewal per year. If you’re moving to a fresh cohort, we begin the next October marketing window straight away — no gap, no scramble, no panic-listing in March.
